Medical Office Automation
Less paperwork.
More patients.
Canadian doctors lose nearly 20 million hours a year to unnecessary paperwork. We automate the busywork in your clinic, from reminders and intake forms to referrals and billing follow-up, so your team can focus on patients.
U.S. physicians spend fewer than half their working hours with patients. We automate the busywork in your practice, from reminders and intake forms to eligibility checks and claims follow-up, so your team can focus on care.
GP practices in England deliver around 29 million appointments a month, with fewer full-time GPs than in 2015. We automate the busywork in your practice, from reminders and patient forms to referrals and recalls, so your team can focus on care.
The problem
Your clinic runs like a small business. It should be automated like one.
Admin work doesn't just cost time. It drives burnout, eats into appointment capacity and leaks revenue. Most of it is repetitive, rules-based work that software can do reliably.
- 9.9 hours a week is what the average Canadian family physician spends on admin.
- 19.8 million hours a year of that work is unnecessary, about 199 hours per physician.
- 93% say paperwork disrupts their work-life balance, and 1 in 4 are considering early retirement.
- Nearly 5,000 privacy breaches in Ontario in 2021 came from faxes sent to the wrong number.
- 75% of Ontario family doctors have no team-based admin support.
- 57.8 hours is the average physician work week, but only 27.2 hours are spent on direct patient care.
- 22.5% of physicians spend 8+ hours a week in the EHR after hours.
- 40 prior authorizations per physician every week, and 40% of practices have staff who do nothing else.
- 32% of claim denials trace back to incomplete or inaccurate patient registration data.
- Medical assistants are the hardest role to hire, according to 47% of practice leaders.
- 28.8 million appointments a month are delivered by 29,223 full-time-equivalent GPs, 142 fewer than in 2015.
- 25β30 minutes a day goes on system-generated admin, according to GPs.
- 73% of GPs say their workload is compromising patient safety.
- Nearly 1 in 4 adults have missed an appointment because they forgot or ran late.
- 9.5 million online consultation requests reached practices in July 2026 alone.
What we automate
The repetitive work, handled automatically
We map your current workflows, connect the tools you already use, and set up rules-based automation your staff can trust and control.

Privacy & compliance
Built around patient privacy
- Encrypted patient messaging
- Minimal info in reminders
- Role-based staff access
- Audit trails on every workflow
- Works with your existing EMR
- Your staff approves every rule
Canadian privacy laws
Clinics are governed by provincial health privacy laws, such as PHIPA in Ontario, the HIA in Alberta and PIPA in B.C., and in some cases by the federal PIPEDA.
We design workflows to support your obligations as a health information custodian. That includes recommending secure messaging platforms, keeping reminders free of clinical details, and replacing error-prone manual faxing with tracked, automated routing.
HIPAA
Appointment reminders are treatment communications under HIPAA. They're allowed when they include only what's needed: name, date, time and location, with no diagnoses or visit reasons.
We build HIPAA-conscious workflows, keep messages minimal, include opt-out options, and only use vendors that will sign a Business Associate Agreement (BAA).
UK data protection law
Patient information is special category health data under UK GDPR and the Data Protection Act 2018, regulated by the ICO. Practices working with the NHS also complete the Data Security and Protection Toolkit.
We design workflows to support your obligations as a data controller. That includes keeping reminders minimal, limiting staff access by role, using processors that sign a data processing agreement, and keeping an audit trail of every automated step.

FAQ
Common questions
Will automation replace my staff?
No. Clinics are using automation to take repetitive work off their team, not to cut jobs. With front-desk and assistant roles hard to fill, automation gives your existing staff back the hours you can't hire for.
Will it work with my EMR or practice management system?
In most cases, yes. We start by auditing the systems you already use and build automations around them, rather than asking you to switch platforms.
Is it privacy compliant?
We design every workflow around your privacy obligations: provincial laws like PHIPA in Canada, and HIPAA in the U.S. That means minimal information in messages, secure platforms, access controls and audit trails.
Will older patients use it?
Automation adds options; it doesn't remove them. Most patients still like to call, so we automate the routine reminders and confirmations and keep your phone lines open for patients who need a person.
How long does setup take?
It depends on the workflows you choose. Your free audit gives you a clear plan, timeline and quote before anything is built.
